When the mobility budget is reloaded is individually determined by your employer. It may be monthly, but can for instance also be quarterly.
When an employee leaves their company, the employer will automatically unsubscribe them from the mobility budget. If you wish to continue to use hvv switch, you should change the means of payment in the hvv switch App to a private payment method.
Billing / submitting receipts
In addition to the service providers available in the hvv switch App, you can in principle use all further mobility options in your mobility budget and submit the relevant documents/invoices/receipts.
Your employer determines what means of transport and what kinds of trips they will reimburse. To have the costs reimbursed, you first of pay them up front and later submit the receipts via the hvv switch App.
Open the hvv switch App and change to the overview “Mobility budget”. There you can see your current budget status. Select the button: "Submit new receipt". You can either photograph the receipts or upload them from the photo album or as a PDF file.
Please enter all the relevant information concerning your receipt and confirm that the details are correct. After that the costs on the receipt you have submitted will be deducted from your mobility budget.
The requirements for a receipt to be recognized are that the date of the trip, the amount of the costs and the mobility provider should be recognizable on it. Please check that the details given are correct.
Yes, ticket receipts can be submitted as long as you still have a residual budget. If the amount you submit is higher than the available budget, only that part of the costs which was covered by the residual budget will be reimbursed with your next salary. Under “My outgoings” you can see what part of the costs was not covered by your mobility budget. If, for instance, you have a residual budget of € 20 and submit a receipt for € 30, you will be reimbursed for € 20 with your next salary. In the case of a subscription ticket such as the hvv Deutschlandticket, it works as follows: if the budget in your hvv M account has insufficient funds but still a residual amount, your hvv Deutschlandticket will be automatically renewed and the amount not covered by your residual budget will be deducted from your salary. If your (residual) budget on the day of debit is € 0, the hvv Deutschlandticket will be automatically cancelled.
Your employer decides whether the remaining budget lapses or will be carried over to the next month. Your contact person in your company will be able to give you information about this.
